The written quote comes after the review, because a figure for a firm we have not seen is a guess with a decimal point on it. These are the six things that decide it. None of them is a surprise.

  • How much of the job it covers

    One screen that retires one spreadsheet is a different piece of work from the system a whole department books against. Nearly every good first build is the small one.

  • What it has to talk to

    The accounting package, the calendar, the practice system from 2011. An integration with a documented way in is an afternoon; one without is most of the project.

  • What has to come across

    Twelve years of records in a spreadsheet somebody has been correcting by hand. Moving data is rarely difficult and always long, because every exception in it has to be decided by a person.

  • How many people are in it

    Five people doing the same job need one screen. Fifty across three roles need permissions, a record of who changed what, and an answer to what happens when two of them edit the same thing.

  • What you have to be able to prove

    The rules your profession works under, and what an insurer or a large client asks you to evidence. Where that lands inside the software — who saw what, and when — is design work, not a checkbox.

  • Who keeps it running after

    Something we watch, patch and answer the phone for is a different arrangement from something handed over at the end. Both are fine. They are not the same number.
